We use SurgeMail for our Listserv software

1) How do I use email instead of the web form to:

  • To subscribe to a list you send an email to listname-request@listserv.buffalostate.edu and in the body of the message place the word "subscribe". Nothing else is needed.

  • To unsubscribe from a list you send an email to listname-request@listserv.buffalostate.edu and in the body of the message place the word "unsubscribe". Nothing else is needed.

  • If you want to suspend receiving of a list (say for vacation) without actually unsubscribing, then send an email to listname-request@listserv.buffalostate.edu and in the body of the message put either "holiday true" or "holiday false" (to turn list back on).

  • 1.5) Another way of answering this:

If your list isn't in the pulldown menu (often because it's a private or moderated list), You can do simple subscribes and unsubscribes by using the following format to send an email command.

Just send an email (subject and body don't matter but many email systems will reject an email if you leave them blank) to any of the email addresses associated with the list you are trying to work with.

    listname = anylist
anylist@listserv.buffalostate.edu   Send a post to the list.
    anylist-join@listserv.buffalostate.edu   Join the list.
anylist-digest@listserv.buffalostate.edu   Join the list in digest mode.
    anylist-leave@listserv.buffalostate.edu   Leave the list.

Be sure to check your SPAM or Junkmail folders for followup messages.

Note some mailing lists already have a dash in them so don't confuse the listname with a command.

    example:
    listname = anylist-today
anylist-today@listserv.buffalostate.edu   Send a post to the list.
    anylist-today-join@listserv.buffalostate.edu   Join the list.
anylist-today-digest@listserv.buffalostate.edu   Join the list in digest mode.
    anylist-today-leave@listserv.buffalostate.edu   Leave the list.

2) How do I get a daily digest of messages instead of separate messages?

  • If you would prefer a digest version (one email a day with all the messages together) of one of the mailing lists do the following:
    Subscribe as normal.
Send an email to listname-request@listserv.buffalostate.edu and in the body of the message put either "digest true" or "digest false" (to turn digest format off).

3) My message or command request is being bounced back to me saying there is no subject.

  • Even though the instructions state to only put the command in the body of the message, you may have have to put something (anything) in the subject. Many email systems now will reject messages without a subject.

4) What is a moderated list?

  • Some lists are moderated. This means that any message sent to a list is first sent to a moderator to determine if the message is to be sent on to the rest of the list. It is up to the list owner (not listserv manager) to determine if it is to be a moderated list or not.

5) I want to change my email address.

  • You must first unsubscribe from your old address (often you must do this FROM the old email address) the subscribe from your new address. If you don't unsubscribe email will continue to be sent to that address.

TOP

6) I was subscribed and now I'm not.

  • Over the course of time with people changing their email address without telling the listserv there ends up literally thousands of bad addresses in the database. To help alleviate that the system tries to determine if a bounced message is being bounce because of a permanent condition such as the email address not existing anymore. It will then remove addresses if it can determine this. Something that may cause a false-positive would be if a person allowed their account to be suspended or if they are over-quota for a long enough period for the listserver to believe the account is no longer good.

7) Some of the list names in the pull-down menu or in the subject of the messages aren't very descriptive.

  • Sorry, it was what was sent here when the list was requested. Also in some cases, if you don't know what it is then it's likely you'll have no interest in it anyway.

TOP

8) This or that list won't let me subscribe or unsubscribe.

  • Some lists are set up so only the moderator has control of those on the list.

TOP

9) I found some instructions somewhere else that says I can use the list to get files remotely?

  • Sorry, not here.

10) I want a college related list set up. Who do I contact.

TOP

11) I sent a message to the list and it didn't arrive until a couple of hours later.

  • The listserver handles dozens of lists with some of them having thousands of subscribers. Messages get queued up and are sent as soon as possible. Sometimes it simply takes a while to get to your message, sometimes there's a delay on the receiving end that keeps the message from being delivered, sometimes something in between. Email can never be guaranteed for immediate delivery.

TOP

12) I tried to send a file/picture/document to the list and it bounced back

  • In almost all cases a list message is limited to 40K in size and most types of files are blocked by default. As for the size issue you have to keep in mind that not everyone can receive large files, not everyone has a fast connection to receive large files and most of all you have to multiply the size of that message by the number of people on the list to see how much information you are really sending.

  • Many file types are blocked to protect everyone on the list from viruses and trojans. If YOU have a virus on your machine that tries to replicate itself by sending to everyone in your address book, a copy may also be sent to the mailing list that you are a member of. Zipped files are acceptable provided they are under the size limit for your list.

13) I sent a message to the group and it said I wasn't allowed

  • This can be from a couple of reasons.

    • It is a moderated list and only moderators are allowed to post to it.

    • You read the message from one email address and tried to reply to it from a different email address. You are only allowed to post to a list from the email address in which you are subscribed.
